New Patient Information for Zoom Sessions

Welcome to Vision Therapy Calgary!

Here at Vision Therapy Calgary, our team is excited to begin your remote therapy sessions with you. We have been performing remote vision therapy sessions since 2012 with patients across Canada and overseas. Below is an intro video with some tips on ensuring the sessions go smoothly. (Note: there are two parts to this video, please don’t close the video after the first half is done)

FAQs

What do I need to participate in our appointment?

We will email you a link to join the appointment via Zoom. You do not need to download the Zoom App or create an account if you are accessing the meeting from a desktop or laptop computer (Mac or Windows 7 or above). Your device should have the most up-to-date software and security patches.

We would ask that you do not attend the appointment from a mobile device as the screen is not large enough to carry out certain exercises.

Is Zoom Video conferencing private?

Zoom video calls are private and secure. Appointments will not be recorded by your therapist or the Zoom platform. All personal or health information collected by clinic staff for the purposes of treatment and care during your appointment will be kept confidential, as guided by Alberta’s Health Information Act. Please do not film, record, or take photographs of your session without discussing this with your therapist.

Setting up Zoom for Remote Vision Therapy

  1. Please go to Zoom’s settings -> videos -> unclick mirror my video.

  2. During the session, we may write down some notes for you in the chat box. You will want to make sure it is saved for future references as you practice your exercises throughout the week. We recommend that you set up the Auto-saving chat function. Below are the instructions.
  1. Sign in to the Zoom web portal.
  2. Click Settings.
  3. Next to In Meeting(Basic), click Edit on the right side.
  4. Check the option for Auto saving chats.
  5. Click Save Changes.

    What do I do on the day of my appointment?

    On the day of your appointment, you will open your email invitation from your therapist a few minutes before your scheduled appointment time. When it is time for your appointment, you will click on a link in the email to join the appointment and meet with your vision therapist. You will be using the same link for every appointment.

    • It is important that you are in a private, quiet, and well-lit location in your home during your Zoom Video call, so that your privacy is protected and you can hear well and be seen onscreen.
    • You and your therapist will let each other know who you are and identify if anyone else is in the room or comes into the room during your appointment. Name who they are, even if they can’t be seen on the screen.
    • Remove or refrain from using any items that may be a distraction.
      • Turn off phone ringers and notifications, and remove from view if not in use
      • Remove toys, games and activities that are not relevant to the clinical appointment
      • Do not bring food into the appointment
    • Please have a pencil, blank paper, and tape handy at your desk. If you have a whiteboard, please let us know beforehand as we may ask you to use it during the session.

    Other Recommendations

    • For patients who are 13 years and younger, an adult should be present for the entire session.
    • For those who are older, we may recommend that there is another adult around as some exercises may benefit from having another partner.
    • Our therapists will send you worksheets to be printed ahead of time. Please make sure they are ready prior to the appointment.
    • Please have a pencil, a few sheets of blank paper and tape (for putting up charts on a wall) ready at the beginning of the session.
    • Other useful tools include a magnetic whiteboard.
    • If you require any equipment, it will be available for pick up at our clinic.
    • During the session, it is recommended that you are in a quiet and bright area.
    • Please ensure minimal distractions if possible (siblings, toys and television etc).
    • Please situate yourself with good lighting so that we can adequately see your face. For example, do not sit with the window behind your head because it darkens your face.
    • It will be helpful if your video camera is adjustable so we can watch you as you perform activities that might require you to switch from sitting to standing position.
    • If you are unfamiliar with video conferencing, please perform a trial call with a friend or family member prior to your first session. And we are available to provide guidance as well.
